Purpose
This proposal seeks approval to trial the use of Copilot for a selected number of staff at Guildford Grammar School, whose roles are heavy in office administrative tasks. The objective is to enhance productivity and efficiency in regular tasks that require the use of essential Microsoft applications, including Outlook, Word, OneNote, Teams and PowerPoint.
Background
With the increasing administrative demands to manage communication, documentation, and collaborative tasks, adopting modern tools can streamline workflows. Copilot, integrated within Microsoft 365 applications, leverages AI to assist users in composing emails, drafting documents, organising notes, taking minutes and managing communication. By trialling Copilot, we aim to explore its potential to improve productivity and lessen administrative burden.
Whilst many schools are trialling this technology with teaching staff, there are a variety of other programs available with little cost that teaching staff can access (eg. MagicSchool, Magic AI, Diffit etc). However, administrative tasks are largely reliant on information stored within the Microsoft 365 ecosystem, making Copilot the most appropriate choice for these staff.
Objectives
- Increase Efficiency: Automate routine tasks such as drafting emails, scheduling meetings, drafting meeting minutes and organising notes.
- Enhance Productivity: Enable quicker document creation and editing with AI-assisted suggestions.
- Improve Collaboration: Streamline communication and coordination within Teams, promoting more effective teamwork.
- Skill Development: Enhance digital proficiency by familiarising staff with AI-driven tools, aligning with our commitment to innovation and growth.
Scope of Trial
- Participants: 20 staff in a variety of administrative heavy roles across the school.
- Applications in Focus:
- Outlook: Drafting emails, scheduling meetings, and managing inbox efficiently.
- Word: Creating and editing documents using AI-generated suggestions for improved writing.
- OneNote: Organising notes with AI-generated summaries and action items.
- Teams: Enhancing communication and collaboration with AI-assisted meeting notes and task assignments. Generating drafts of minutes from meetings.
Staff Requirements
Staff will need to complete an expression of interest (see below) outlining why they are interested in taking part, and meet the requirements below:
- Full time, permanent staff
- Proficient at using:
- Macbook
- Word
- Outlook
- Some experience using:
- OneNote
- Teams
During the trial the selected staff must:
- Complete assigned Microsoft Learn Pathways
- Meet individually with Digital Integrators to discuss use cases
- Attend training with Microsoft to highlight Copilot uses
- Attend one meeting per school term with all trial participants to discuss uses and share findings
- A feedback session at the end of the trial to evaluate the impact on productivity and user experience.
